Role Details

We are currently seeking a full-time Vice President of Operations interested in joining a high-growth stage startup. The mandate of the VP of Operations is simple but challenging: help build out our operations and play a key role in expanding Vic.ai globally. Above all, the successful candidate is a self-starter who is resourceful, organized, detail-oriented, communicative, and friendly.

You have experience directly related to a broad set of initiatives including, for example, strategy; reporting; metrics; technology; staffing; career development; diversity, equity and inclusion initiatives; and leadership initiatives. You are a self-starter that enjoys the autonomy to act on opportunities when you see them. You have a passion for innovation and disruption. You are serially curious and obsessed with continuous learning.

As a leader of the Operations team, you will be responsible for a cross-functional team that owns and executes initiatives across the organization. What this entails but is not limited to:

 

  • Operations Team
    • Ongoing business operations
      • Lead the team responsible for day to day business operations, compliance and continuous process improvements across the organization
    • External initiatives and projects
      • Operationally systemize and execute new initiatives
      • Lead cross-functional undertakings (ex. Opening a new market, supporting other teams expansion)
    • Cross functional process optimization
      • Creating and continuously optimizing internal processes and routines (ex. Product/Engineering, or Onboarding of new Customers)
      • Enable partners to be successful in ongoing operations (example integrations build, sales support, product implementation support etc)
    • Customer Delivery
      • Responsible for successful Vic.ai platform implementation for large Enterprise customers
      • Accountable for on-time delivery to customers for complex onboarding initiatives in collaboration with product and engineering teams
    • Customer Success
      • Customer onboarding projects and ongoing relationship management
      • Support & Help Center
      • Customer Health monitoring
    • Data Analytics
      • Continue to build out our data analytics service offering
      • Provide visibility and data insights to our customers as well as the company internally 
    • Collaborate with HR / Recruiting 

 

  • You collaborate the closest with:
    • Chief of Staff (will frequently require Ops to execute leadership initiatives)
    • Business Development (will frequently require Ops help to execute)
    • Product (research, analysis, projects around new opportunities)
    • Operations Staff (you will be leading a growing team of operations directors and managers) 

 

Key areas of responsibility

  • Oversee and direct the company’s day to day operations 
  • Hire, retain, and develop the operations team and its members 
  • Implement operational policies, objectives, and initiatives 
  • Execute operating plans to achieve short- and long-term operational and financial goals
  • Build out and continually improve operational systems and procedures to gain efficiencies and to minimize risk
  • Partner with the CEO and the senior leadership team to address strategic and operational issues as they arise, and provide recommendations for solutions based on operational analysis 
  • Serve as a key member of the senior management team. Develop and maintain effective relationships with senior leaders throughout the organization
  • Routinely bring together multiple stakeholders with divergent perspectives and drive decisions, resolve conflicts, and influence outcomes
  • Support organizational excellence through independent analysis of operational effectiveness, serving as a sounding board for all levels of the team, synthesizing team and member firm feedback
  • Ensure compliance with standards and regulations, including SOC2 compliance and more 
  • Strategic Programs – support departments in the planning, implementation, execution, and reporting of strategic goals and critical technology initiatives
  • Promote a framework to drive accountability across the organization
  • Assist in formulating the company's future direction and supporting tactical initiatives

 

 

Qualifications

 

  • 8+ years of progressively responsible operational management experience, data analysis, reporting, and planning
  • Exceptional leadership skills, including the ability to implement change
  • Proven success in building and scaling teams and systems   
  • Superior project and change management skills 
  • Strong balance of problem-solving, decision-making, creative and analytical skills, with the demonstrated ability to successfully drive both strategy and execution
  • Excellent organizational skills, with the ability to manage complex projects and geographically dispersed teams
  • Strong teamwork and interpersonal skills, as well as excellent communication skills
  • Experience working in a fast-moving, high-growth company; high comfort level working in a matrixed organization
  • Expectation of regular business travel
  • Bachelor's Degree required (Master's Degree preferred) or equivalent combination of education, training, and experience
